CANCELLATION POLICY

The following information addresses reasons for, documentation needed and the costs associated with contract cancellations. The residence hall contract is for the entire academic year. Prior to the August 15 deadline stated in the contract, please contact the Office of Residence Life in writing as directed. If you wish to cancel your contract once the school year begins, you must complete an Application to Cancel Room and Board Contract. An application is available from the Residence Life Coordinator.

1. Student Teaching / Internship / Co-operative Study Program
The student must attach a letter from their academic advisor verifying the academic nature of the experience and the teaching/internship/co-op location and beginning and ending dates of the experience. To be considered for contract cancellation, the teaching/internship/co-op must predominately take place at least 50 miles from the Kansas State University-Salina campus and represent a significant hardship for commuting. If the Application to Cancel the Room and Board Contract is submitted during the semester, the student is subject to the $100.00 cancellation fee, and will be assessed the appropriate daily rate until they officially checkout of the residence hall. No additional charges will accrue once all obligations are met and the student has officially checked out of the residence hall. Residents may not cancel their contract for reasons of university assignment away from campus for the last eight weeks of a semester; however, the student would be eligible for a food refund following the 6th day away from campus.

2. Marriage
The student must attach a notarized copy of their marriage certificate. If the Application to Cancel the Room and Board Contract is submitted during the semester, the student is subject to the $100.00 cancellation fee, and will be assessed the appropriate daily rate until they officially checkout of the residence hall. No additional charges will accrue once all obligations are met and the student has officially checked out of the residence hall, as Kansas State University-Salina does not currently provide married student housing.

3. Non-continuance of Enrollment. (No additional documentation needed.)
The residence hall contract is automatically terminated if I am no longer officially enrolled at Kansas State University-Salina during the course of the academic year for reasons of withdrawal or academic dismissal. Students withdrawing during the academic year are subject to a $100.00 cancellation fee. Students completing the Fall Semester and not enrolling for the Spring Semester are not subject to a $100.00 cancellation fee, provided they checkout properly, prior to the semester break closing of the residence halls. Students who are academically dismissed from the university are not subject to the $100.00 cancellation fee, but are assessed the appropriate daily rate until they officially checkout of the residence halls.

4. Graduation. (No additional documentation needed if graduating at semester.)
The residence hall contract is automatically terminated upon graduation. Students graduating during the semester or at the end of the semester are not subject to a $100.00 cancellation fee. Students graduating prior to a semester’s official completion date must attach a letter from their academic advisor verifying their early graduation. The contract of a student graduating or withdrawing in December but re-enrolling in January remains valid and the student remains obligated for remaining contract payments.

5. All Additional Areas. (No additional documentation needed.)
If a student remains enrolled at the university and/or the Salina Area Technical School and wishes to cancel her/his contract for any additional reason; such as to move off-campus, move into a Greek unit or for physical or mental health may do so totally at their own discretion. Students canceling for any additional reason, such as those stated above, are assessed 40% of the remaining contract balance and all accrued charges based on the day that they officially checkout of the residence hall.
